RESPONSIBILITIES

- Maintains business records, filing systems, retention schedules, retrieval, indexing, and authorized disposition.
- Maintain organized records, calendars, files, requests, and handoffs so internal work remains visible and controlled.
- Use approved templates, systems, naming conventions, and confidentiality practices for company documents and data.
- Follow documented Proton procedures, customer requirements, safety expectations, and escalation paths for the assigned work.
- Maintain accurate records, status updates, and supporting documentation so work can be verified, billed, audited, or handed off correctly.
- Communicate delays, risks, defects, customer concerns, or scope changes early instead of allowing unresolved issues to sit.
- Protect customer information, company assets, and confidential business information encountered during the work.
- Participate in training, process improvement, and performance reviews tied to the role’s service and operating standards.

MINIMUM QUALIFICATIONS
Required qualifications
- High school diploma or equivalent required; business, office administration, customer service, or related coursework is preferred.
- Entry-level candidates may be considered where training is appropriate; prior directly relevant experience is preferred and role-specific experience requirements are evaluated during hiring.
- Ability to communicate clearly in writing and verbally with coworkers, customers, providers, or candidates as the role requires.
- Comfort using computers, email, shared documents, and company systems; role-specific software training may be provided.
- Ability to follow documented processes, protect confidential information, and reliably complete assigned work.
PREFERRED QUALIFICATIONS
Preferred qualifications
- Experience in a service, operations, facilities, staffing, technology, logistics, or commercial business environment
- Strong document organization and follow-through
- Experience with office systems, CRM/ERP, scheduling, records, or contract administration appropriate to role
WORKING CONDITIONS
Work environment & requirements
- Work arrangement: Jacksonville-based; office or hybrid depending on function
- Schedule: Standard business hours; operational deadlines or events may occasionally require alternate hours
- Travel: Minimal to occasional local travel depending on role
- Physical requirements: Primarily computer, document, meeting, and office-support work; some roles require moving office materials up to 25 lb
- Tools and systems: Office productivity, document management, scheduling, communication, CRM/ERP, and role-specific administrative systems
