POSITION PURPOSE

Position summary

Provides administrative and service support for assigned commercial accounts, including schedules, reports, requests, and follow-up.

RESPONSIBILITIES

Key responsibilities

  • Provides administrative and service support for assigned commercial accounts, including schedules, reports, requests, and follow-up.
  • Prioritize work based on urgency, customer impact, service commitments, resource availability, and documented escalation rules.
  • Confirm completion evidence and unresolved items before closing or handing off service records.
  • Follow documented Proton procedures, customer requirements, safety expectations, and escalation paths for the assigned work.
  • Maintain accurate records, status updates, and supporting documentation so work can be verified, billed, audited, or handed off correctly.
  • Communicate delays, risks, defects, customer concerns, or scope changes early instead of allowing unresolved issues to sit.
  • Protect customer information, company assets, and confidential business information encountered during the work.
  • Participate in training, process improvement, and performance reviews tied to the role’s service and operating standards.

MINIMUM QUALIFICATIONS

Required qualifications

  • High school diploma or equivalent required; business, office administration, customer service, or related coursework is preferred.
  • Entry-level candidates may be considered where training is appropriate; prior directly relevant experience is preferred and role-specific experience requirements are evaluated during hiring.
  • Ability to communicate clearly in writing and verbally with coworkers, customers, providers, or candidates as the role requires.
  • Comfort using computers, email, shared documents, and company systems; role-specific software training may be provided.
  • Ability to follow documented processes, protect confidential information, and reliably complete assigned work.

PREFERRED QUALIFICATIONS

Preferred qualifications

  • Experience in field service, dispatch, facilities, property management, logistics, or customer operations
  • Experience with work-order, ticketing, scheduling, or CRM systems
  • Experience coordinating multiple priorities and customer sites

WORKING CONDITIONS

Work environment & requirements

  • Work arrangement: Jacksonville-based; office/dispatch with field interaction as assigned
  • Schedule: Business hours; dispatch and active service roles may require early, late, weekend, or on-call coverage
  • Travel: Local travel may be required for site coordination and service verification
  • Physical requirements: Computer/phone work plus ability to walk active customer sites when assigned
  • Tools and systems: Work-order system, CRM, scheduling tools, phone, email, spreadsheets, mobile field documentation
